TriScreen("we," "our," or "us") operates the TriScreen applicant tracking system available at https://triscreen.ai. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

1. Information We Collect

Account Information

When you create an account, we collect your name, email address, and password (stored in hashed form). If you subscribe to a paid plan, we collect billing information through our payment processor (Stripe).

Candidate Data

As a self-hosted ATS, candidate data (resumes, interview transcripts, screening scores) is processed and stored within your own infrastructure. We do not have access to candidate data unless you explicitly share it with us for support purposes.

AI Processing Data

TriScreensends candidate materials to third-party AI providers (Anthropic, OpenAI, Google) for screening using your own API keys. These transmissions are governed by each provider's data processing terms. We do not store or retain copies of data sent to AI providers.

Usage Data

We collect anonymized usage analytics (page views, feature usage) through Vercel Analytics to improve our service. This data does not include personally identifiable information.

2. How We Use Your Information

  • To provide and maintain the TriScreen service
  • To process payments and manage your subscription
  • To send transactional emails (account confirmations, billing receipts)
  • To provide customer support
  • To improve our service based on aggregated, anonymized usage patterns

3. Data Storage and Security

TriScreen is a self-hosted solution. Your candidate data, screening results, and hiring pipeline information are stored in your own database on your own infrastructure. We employ industry-standard security measures including encrypted connections (TLS), hashed passwords (bcrypt), and secure authentication (NextAuth).

4. Third-Party Services

We integrate with the following third-party services:

  • Stripe — Payment processing. Subject to Stripe's Privacy Policy.
  • Anthropic (Claude)— AI candidate screening using your API key.
  • OpenAI (GPT)— AI candidate screening using your API key.
  • Google (Gemini)— AI candidate screening using your API key.
  • Vercel Analytics— Anonymized usage analytics.
  • Resend— Transactional email delivery.

5. Data Retention

Account data is retained for as long as your account is active. You may request deletion of your account and associated data at any time by contacting us. Candidate data stored in your self-hosted instance is under your control and not subject to our retention policies.

6. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to or restrict processing of your data
  • Data portability

7. Cookies

We use essential cookies for authentication and session management. We do not use advertising or tracking cookies. Vercel Analytics uses privacy-friendly, cookieless analytics.

8. Children's Privacy

TriScreen is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.
